I always click in the Instant Search box, type a word or two, and hope for the best. That doesn&#8217;t always work too well\u00a0 Fortunately, Alex B showed me a few tricks for better Microsoft Outlook searches, and they might help you too. There&#8217;s also a big problem with one of these tricks, and Microsoft won&#8217;t be fixing it.<\/p>\n<p><!--more--><\/p>\n<h3>Outlook Instant Search Box<\/h3>\n<p>I&#8217;ve used Outlook since at least Office 97, and haven&#8217;t paid much attention to the Search feature. If I need to find an email or contact, I click in the Instant Search box, type something, then press Enter.<\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips02.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border-width: 0px;\" title=\"searchtips02\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips02_thumb.png\" alt=\"searchtips02\" width=\"318\" height=\"195\" border=\"0\" \/><\/a><\/p>\n<p>If all goes well, the item that I&#8217;m looking for shows up near the top of the search results.<\/p>\n<h3>Add More Fields to Search<\/h3>\n<p>Recently, Alex B gave me a few tips for better Microsoft Outlook searches. The tip that surprised me the most is that you can add more fields in the Instant Search section. That seems like a great feature, but I discovered a big <a href=\"#problem\" rel=\"noopener\">problem<\/a>, at least in my version of Outlook.<\/p>\n<p>First, here&#8217;s how to add more fields in Outlook 2016:<\/p>\n<ul>\n<li>Click in the Instant Search box, and a Search tab appears on the Outlook Ribbon.<\/li>\n<li>On the Search tab, click the More button, to see a drop down list of fields.<\/li>\n<li>Click on a field name, to add its box to the Instant Search section<\/li>\n<\/ul>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips04.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border-width: 0px;\" title=\"searchtips04\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips04_thumb.png\" alt=\"searchtips04\" width=\"363\" height=\"369\" border=\"0\" \/><\/a><\/p>\n<p>I clicked the From field, and its box was added below the Instant Search box.<\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips05.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border-width: 0px;\" title=\"searchtips05\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips05_thumb.png\" alt=\"searchtips05\" width=\"339\" height=\"150\" border=\"0\" \/><\/a><\/p>\n<p>If you type something in the From box, the field name and search string are automatically added to the Instant Search box.<\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips06.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border-width: 0px;\" title=\"searchtips06\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips06_thumb.png\" alt=\"searchtips06\" width=\"329\" height=\"180\" border=\"0\" \/><\/a><\/p>\n<h3>Add More Fields to Instant Search<\/h3>\n<p>If there are other fields that you frequently search, use the More list again, to add those fields. Don&#8217;t add too many though, or you won&#8217;t have room to see the search results!<\/p>\n<p>Some of the field boxes, such as Received, have an arrow at the right. Click the arrow to choose a criterion from a drop down list.<\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips08.png\"><img loading=\"lazy\" decoding=\"async\" class=\"alignnone\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border-width: 0px;\" title=\"outlook searches\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips08_thumb.png\" alt=\"outlook searches\" width=\"319\" height=\"215\" border=\"0\" \/><\/a><\/p>\n<h3><a name=\"problem\"><\/a>Problem with Text in Search Boxes<\/h3>\n<p>Those additional text boxes worked nicely, but then I discovered a major problem. For any box in which you&#8217;ve typed some text, such as &#8220;Debra&#8221; in the From box, that text sticks.<\/p>\n<p>You can change the text right after you enter it. So, if I typed &#8220;Microsoft&#8221; in the Subject box, I could delete that right away, and type &#8220;Excel&#8221; instead.<\/p>\n<p>However, if you go to a different folder, and click in the Instant Search box, that old text is still in the field box. You can&#8217;t type over it, or press Delete to clear the box.<\/p>\n<p>In the screen shot below, I can&#8217;t remove &#8220;Excel&#8221; from the Subject box.<\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips09.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border-width: 0px;\" title=\"searchtips09\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips09_thumb.png\" alt=\"searchtips09\" width=\"331\" height=\"135\" border=\"0\" \/><\/a><\/p>\n<h3>How to Clear the Text Field Boxes<\/h3>\n<p>There&#8217;s no good way to clear those boxes. To get rid of the text, you have to:<\/p>\n<ul>\n<li>Close and re-open Outlook<\/li>\n<li>OR, click the X to remove the field box, and add a new copy.<\/li>\n<\/ul>\n<h3>This Problem Will Not Be Fixed<\/h3>\n<p>This &#8220;stuck&#8221; text seems to be a fairly recent bug, but apparently <strong>it will not be fixed<\/strong>. In the Microsoft Outlook forums, <a title=\"going to be deprecated\" href=\"https:\/\/answers.microsoft.com\/en-us\/msoffice\/forum\/msoffice_outlook-mso_win10\/outlook-search-fields-do-not-reset-when-search-is\/a6a20002-c9bc-4ee1-81b9-d8333d9be338\" target=\"_blank\" rel=\"nofollow noopener\">Gabriel Bratton says<\/a>, &#8220;this part of the Search functionality is going to be deprecated longer term&#8221;.<\/p>\n<p>Well that&#8217;s disappointing news! I guess there aren&#8217;t too many people using this feature, so Microsoft is getting rid of it. Sigh \u2013 just after I learned about it!<\/p>\n<p>So, if you love these extra search boxes, and don&#8217;t want to lose them, you&#8217;d better stick with your older version of Excel.<\/p>\n<h3>Better Outlook Searches Without Field Boxes<\/h3>\n<p>Fortunately, you can do better <a href=\"https:\/\/debradalgleish.com\/blog\/2022\/01\/16\/how-to-check-email-internet-headers-in-microsoft-outlook\/\">Microsoft Outlook<\/a> searches, even without those extra field boxes.<\/p>\n<p>To add criteria while you search, click one of the commands in the Refine group on the Search tab. That will add the field name, and a generic criterion in the Instant Search box. In the screen shot below, I clicked From.<\/p>\n<p>That add a string to the Instant Search: from:&#8221;Sender Name&#8221;. The generic text is highlighted, so just type your own text to replace it.<\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips10.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border-width: 0px;\" title=\"searchtips10\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips10_thumb.png\" alt=\"searchtips10\" width=\"402\" height=\"195\" border=\"0\" \/><\/a><\/p>\n<h3>Use Search Operators<\/h3>\n<p>When you type search criteria that contains two words, Outlook uses the <strong>AND<\/strong> operator by default. You don&#8217;t have to type that in the search string. For example, this search string would find email with <strong>both<\/strong> &#8220;debra&#8221; <strong>and<\/strong> &#8220;excel&#8221;, anywhere in the email (From, To, Body, etc.)<\/p>\n<ul>\n<li><strong>debra excel<\/strong><\/li>\n<\/ul>\n<p>To refine the searches even more, use the <strong>OR<\/strong> and <strong>NOT<\/strong> operators in the Instant Search box. The operators must be typed in <strong>all upper case<\/strong> \u2013 OR and NOT<\/p>\n<p>For example, to find email with that contain my name, but don&#8217;t mention Excel, I&#8217;d use this string:<\/p>\n<ul>\n<li><strong>debra NOT excel<\/strong><\/li>\n<\/ul>\n<p>There aren&#8217;t too many emails in that search result!<\/p>\n<h3>Other Search Strings<\/h3>\n<p>There are lots of other criteria that you can use, to narrow down your searches. Here are a couple of examples for date fields, that Alex B sent to me (thanks Alex!)<\/p>\n<ul>\n<li>After a specific date:\u00a0 <strong>&gt; 5\/10\/2017<\/strong><\/li>\n<li>Between two dates: <strong>10\/10\/2017..10\/03\/2016<\/strong><\/li>\n<\/ul>\n<p>Use those with a specific field name, such as Received:<\/p>\n<ul>\n<li><strong>received:10\/18\/17..10\/19\/17<\/strong><\/li>\n<\/ul>\n<h3>More Search Examples<\/h3>\n<p>To see tons of examples of string for Outlook searches, go to the <a title=\"reference list on Robert Sparnaaij's website\" href=\"https:\/\/www.howto-outlook.com\/howto\/searchcommands.htm\" target=\"_blank\" rel=\"nofollow noopener\">reference list on Robert Sparnaaij&#8217;s website<\/a>. He shows how to use brackets too, to look for items within the same category. For example:<strong> category:(blue OR red)<\/strong><\/p>\n<p>There is also an extensive list on the Microsoft site \u2013 <a title=\"Narrow Your Search Criteria\" href=\"https:\/\/support.office.com\/en-us\/article\/Learn-to-narrow-your-search-criteria-for-better-searches-in-Outlook-d824d1e9-a255-4c8a-8553-276fb895a8da\" target=\"_blank\" rel=\"nofollow noopener\">Narrow Your Search Criteria<\/a><\/p>\n<p>And for a few more tips for Outlook searches, go to the <a title=\"Instant Search\" href=\"https:\/\/support.office.com\/en-us\/article\/Find-a-message-or-item-with-Instant-Search-69748862-5976-47b9-98e8-ed179f1b9e4d\" target=\"_blank\" rel=\"nofollow noopener\">Instant Search<\/a> page on the Microsoft site.<\/p>\n<h3>Search Results As You Type<\/h3>\n<p>As you type the criteria in the search boxes, the search results will automatically show a filtered list of matching items.<\/p>\n<p>You can turn off the &#8220;as you type&#8221; search results in Outlook&#8217;s Options. In the Search category, under Results, remove the check mark from &#8220;When possible, display results as the query is typed&#8221;.<\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips07.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border-width: 0px;\" title=\"searchtips07\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips07_thumb.png\" alt=\"searchtips07\" width=\"447\" height=\"284\" border=\"0\" \/><\/a><\/p>\n<h3>Outlook Search History<\/h3>\n<p>By the way, while making screen shots for this blog post, I learned that you can&#8217;t clear the items from the <a title=\"can't clear items from drop down list in Outlook Search box\" href=\"https:\/\/answers.microsoft.com\/en-us\/msoffice\/forum\/msoffice_outlook-mso_winother-mso_o365b\/deleting-mailbox-search-history-in-outlook-2016\/6c39f613-16e8-4bcf-a7da-fcbd7b9a3aba?auth=1\" target=\"_blank\" rel=\"nofollow noopener\">drop down list in the Instant Search box<\/a>.<\/p>\n<p>To remove my recent searches, I did a few single letter searches, until the old items dropped off the list.<\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips02-1.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border-width: 0px;\" title=\"searchtips02\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/10\/searchtips02_thumb-1.png\" alt=\"searchtips02\" width=\"318\" height=\"195\" border=\"0\" \/><\/a><\/p>\n<p>There is another history list too &#8212; a &#8220;Recent Searches&#8221; command on the Outlook Ribbon.<\/p>\n<ul>\n<li>The good news is that you CAN clear that Recent Searches list.<\/li>\n<li>The bad news is that you clear it by making a change to the registry!<\/li>\n<\/ul>\n<p>You can <a title=\"Clear Outlook Search history\" href=\"https:\/\/www.slipstick.com\/outlook\/clearing-outlook-2013-mru-lists\/\" target=\"_blank\" rel=\"nofollow noopener\">read the gory details<\/a> on the Slipstick website.
