Behind the scenes, I use Microsoft Access too, for time tracking, website statistics and a few other key tasks. This week, I wanted to find files that hadn&#8217;t been updated for a long time, so I created a query that selects records older than X \u2013 Access asks what X is each time the query runs. Here&#8217;s what I built, and a few other Access query date criteria examples.<\/p>\n<p><!--more--><\/p>\n<h3>Access Query With Simple Date Criteria<\/h3>\n<p>If there is a date field in a table, it&#8217;s easy to build a simple query that selects record before or after a specific date. For example, use this criterion in the date field, to select records that were revised on or before January 1, 2017.<\/p>\n<p><strong>&lt;= 1\/1\/2017<\/strong><\/p>\n<p>Access automatically puts number signs before and after the date, when you\u00a0 press Enter, or click away from the criteria cell<\/p>\n<p><strong>&lt;= #1\/1\/2017#<\/strong><\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates01.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border-width: 0px;\" title=\"accessquerydates01\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates01_thumb.png\" alt=\"accessquerydates01\" width=\"332\" height=\"322\" border=\"0\" \/><\/a><\/p>\n<h3>Access Query Criteria for Specific Date Range<\/h3>\n<p>To select records within a specific date range, with two dates with the AND operator, in the query criteria. Here&#8217;s the criteria string that selects records from January 1, 2017 to May 31, 2017 (including those dates).<\/p>\n<p><strong>Between #1\/1\/2017# And #5\/31\/2017#<\/strong><\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates02.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"accessquerydates02\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates02_thumb.png\" alt=\"accessquerydates02\" width=\"379\" height=\"280\" border=\"0\" \/><\/a><\/p>\n<h3>Query With Changeable Dates<\/h3>\n<p>Just like <a title=\"Excel date formula examples on Contextures site\" href=\"http:\/\/www.contextures.com\/exceldatefunctions.html\">an Excel date formula<\/a>, it&#8217;s usually better to have a variable in an Access query, instead of hard coding a specific date. In Excel, a formula could refer to a worksheet cell, and a date could be entered there, and changed easily.<\/p>\n<p>In Access, you could have a text box on a form, and enter a date there. Then, refer to that text box in the Access query date criteria.<\/p>\n<ul>\n<li><strong>Tip<\/strong>: See <a href=\"https:\/\/debradalgleish.com\/blog\/2023\/03\/13\/microsoft-access-query-date-range-criteria-form-boxes\/\">another Access form with date range boxes<\/a>, and get a small sample file that shows how the Start Date and End Date boxes work.<\/li>\n<\/ul>\n<p>Here is a form where I can enter the start and end dates, and then run a series of reports based on those dates. It&#8217;s easy to change the dates before running the reports, and very efficient for doing month end summaries.<\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates04.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"accessquerydates04\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates04_thumb.png\" alt=\"accessquerydates04\" width=\"402\" height=\"197\" border=\"0\" \/><\/a><\/p>\n<p>In the queries that the reports are based on, the date criteria refer to those text boxes.<\/p>\n<p><strong>Between [forms]![Menu].[txtStart] And [forms]![Menu].[txtEnd]<\/strong><\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates05.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"accessquerydates05\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates05_thumb.png\" alt=\"accessquerydates05\" width=\"397\" height=\"294\" border=\"0\" \/><\/a><\/p>\n<h3>Query With Empty Date Boxes<\/h3>\n<p>[Update] In the comments, someone asked how to show all the data, if the date text boxes are left empty.<\/p>\n<p>To do that, add 2 more fields in your query, with the text box names in them.<\/p>\n<ul>\n<li><strong>[forms]![Menu].[txtStart]<\/strong><\/li>\n<li><strong>[forms]![Menu].[txtEnd]<\/strong><\/li>\n<\/ul>\n<p>Access automatically adds a name for each field &#8211; <strong>Expr1<\/strong> and <strong>Expr2<\/strong><\/p>\n<p>Then, in the <strong>2nd Criteria Row<\/strong> (OR), type <strong>Is Null<\/strong> in each of the new columns.<\/p>\n<ul>\n<li>Don&#8217;t put the new criteria in the same row as the existing criteria, or you won&#8217;t get any results when you run the query.<\/li>\n<\/ul>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone size-full wp-image-1244\" src=\"https:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates009.png\" alt=\"\" width=\"425\" height=\"280\" srcset=\"https:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates009.png 425w, https:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates009-300x198.png 300w\" sizes=\"auto, (max-width: 425px) 85vw, 425px\" \/><\/p>\n<h3>Query With Prompt for Dates<\/h3>\n<p>If you&#8217;re not running a series of reports from an Access form, it&#8217;s easier to use parameters in your query criteria. The parameters will prompt you to enter the start and end dates, or other criteria that you want to have as variables.<\/p>\n<p>So, to select old records with a query, I can put a parameter in my original query, replacing the date. The Parameter is enclosed in square brackets.<\/p>\n<p><strong>&lt;= [Before what date?]<\/strong><\/p>\n<p>When the query runs, the parameter will appear in a pop up message. Type a date in the input box, and click OK, to see the results.<\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates06.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"Access Query Date Criteria Examples\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates06_thumb.png\" alt=\"Access Query Date Criteria Examples\" width=\"383\" height=\"304\" border=\"0\" \/><\/a><\/p>\n<h3>More Access Query Date Criteria Examples<\/h3>\n<p>If you don&#8217;t want to enter the entire date (that can get tiring!), use a parameter as part of a date. In the next example, the DateSerial function is used in the criteria, and the parameter prompts you for the year.<\/p>\n<p>The month (1) and day (1) are hard coded \u2013 the query will select everything before January 1st of the year that you enter.<\/p>\n<p><strong>&lt;DateSerial([Before what year?],1,1)<\/strong><\/p>\n<p><a href=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates07.png\"><img loading=\"lazy\" decoding=\"async\" style=\"background-image: none; padding-top: 0px; padding-left: 0px; display: inline; padding-right: 0px; border: 0px;\" title=\"accessquerydates07\" src=\"http:\/\/debradalgleish.com\/blog\/wp-content\/uploads\/2017\/08\/accessquerydates07_thumb.png\" alt=\"accessquerydates07\" width=\"402\" height=\"272\" border=\"0\" \/><\/a><\/p>\n<h3>How Many Years Old?<\/h3>\n<p>Maybe you would rather focus on the record age, instead of a specific year. In this example, I used the DateAdd function, with year as the interval, then a minus sign, and a prompt for how old the files should be.
